About the Role

We're looking for a Finance, HR & Admin Associate who will be integral in streamlining our bookkeeping and financial management, administering HR processes, and refining our administrative workflows. Your responsibilities will encompass maintaining operational efficiency, supporting our bookkeeper, overseeing accounts receivable for crucial accounts, and ensuring consistent HR administration.


Our IDEAL CANDIDATE brings 3-5 years of finance and administration experience, particularly in bookkeeping and managing accounts receivable. In HR, you have a track record in recruitment, performance management, and implementing HR best practices. Technologically proficient, especially with accounting software and platforms like CosmoLex and Clio, you're adept at maintaining organized digital systems and streamlining workflows. With a keen eye for detail, you ensure accurate financial operations and are comfortable coordinating with both internal teams and external contractors. In a rapidly evolving firm, you prioritize tasks effectively, anticipate needs, and consistently contribute to operational efficiency and team growth.


Teamwork is at our core. You'll work hand-in-hand with external partners (such as our accountant and bookkeeper), and our teammates (ranging from clerks, admin staff and Partners). This position reports directly to the Admin Manager.


You’ll be doing things like:

  • Finance (40%): manage financial inboxes, ensuring timely responses; oversee accounts receivable (AR) and accounts payable (AP) for smooth financial operations; maintain accurate and consistent bookkeeping practices; monitor AR, particularly overdue invoices, and ensure retainer funds are in order; coordinate with external bookkeepers for monthly reconciliations; manage timely billing, moving funds from Trust to General Accounts when needed.
  • Human Resources (20%): oversee performance management and promptly address issues; handle the full recruitment cycle; administer company benefits; conduct regular performance reviews for continuous improvement; update and maintain company handbooks and SOPs; foster a positive company culture and organize team events.
  • Admin (40%): handle data entry, especially on platforms like CosmoLex and Clio; maintain organized digital systems for easy team access; communicate with clients, vendors, and service providers through phone and video; attend to other administrative tasks as required, adapting to the team's evolving needs.


Skills & Qualifications

  • 3-5 years of experience in finance and administration roles, with emphasis on bookkeeping, AR, and AP
  • Proficiency in accounting software
  • Demonstrated expertise in HR processes, including recruitment and benefits administration
  • Strong tech proficiency, especially with Microsoft Office and spreadsheet skills
  • Exceptional organizational and time management skills
  • Outstanding written and verbal communication, complemented by exemplary phone and video chat etiquette
  • Proactive approach with the ability to anticipate and efficiently address company needs
  • Experience in enhancing administrative processes for improved operational efficiency
  • Ability to quickly grasp and implement new concepts and processes
  • Collaborative mindset, adept at working with both internal teams and external contractors


Bonus if you also have:

  • Experience in bookkeeping for legal firms, notably with trust and general accounts
  • CPA or CA certification from an internationally recognized body
  • Proficiency in CosmoLex, Clio, and other cloud-based legal software
  • Expertise in financial planning, analysis (FP&A), and budgeting and/or financial reporting
  • Familiarity with Canadian bookkeeping standards and taxation
  • Knowledge of the Law Society of Ontario's reconciliation protocols
  • An understanding or interest in legal terminology, particularly in Immigration Law and Real Estate


Working Hours: 9AM-5PM EST (Toronto time) – fixed schedule

Full-time vs Part-time: Full-time (40 hours/week)

Education: Degree in Accounting/Finance and formal bookkeeping education – or equivalent experience

Level: Intermediate (3-5 years of relevant work experience)

Compensation: 🇨🇦~$672-864/month (🇵🇰 140K-180K PKR/month), depending on experience
